Voicemail Messages
The "unavailable" message is the standard message.

The "temporary" message is the same as a 'vacation' message. Whenever a temporary message is available, it takes precedence over the "unavailable" message.

The 'Name" is used only if there is no 'unavailable' message. It is inserted into a pre-recorded message.

The 'busy' message is not used. It is currently in the VM system menu as a place-holder for future functionality.

The existence of the unused 'busy' message is confusing and should be removed from the voicemail system. As my company's phone administrator, I am concerned that employees will use this greeting by mistake, thinking it applies when they are "busy" on another call, or when they have set their BLF status to "busy".

The instructions can create confusion by the terminology that is used. The term "message" is used for both incoming recordings that are left by callers and recordings that the owner creates that the caller is to hear when a phone is not answered.


You should differentiate by using the term "message" to mean the recording that the caller leaves on the system and "Greeting" to mean the recorded message that the caller hears when there is no answer. You should have designations as:

"Standard Greeting," "Temporary Greeting," etc. instead of "Temporary Message," etc.


When creating instruction, you need to be absolutely clear!!
